It usually goes the same way. Something happens on your property — a break-in, a fender-bender in the lot, a dispute at the front counter — and you go to pull the footage. The cameras are on the wall, the status lights are lit, and there's nothing on the recorder.
Take a breath. The cameras themselves are usually fine. The problem is almost always between the camera and the recorder — power, storage, settings, or a network change nobody thought twice about. Many of these you can check yourself in ten minutes; a few genuinely need a professional. Every step below is safe for a non-technician — anywhere a fix involves opening equipment or mains power, we say "call someone," because that's the right answer.
First: Is It Live View That's Broken, or Recording?
This one question cuts your troubleshooting in half. Open your system's app or the recorder's screen and check two things: can you see live video right now, and can you play back footage from an hour ago? Then match your situation:
- Live view works, playback doesn't. The camera is fine; the problem is on the recording side. Focus on causes 1, 2, 3, 6, and 9.
- Live view is dead too. The camera isn't reaching the recorder at all — power or network. Causes 4, 5, and 8.
- Some cameras record, others don't. Usually power or cabling to the dead cameras (4 and 8), or per-camera settings never configured (3 and 9).
- Everything worked until a specific date. Ask what changed that day — new router, ISP visit, power outage, firmware update. Cause 5 or 7 is the likely story.
Now, the nine causes.
1. The Storage Is Full and Old Footage Isn't Being Overwritten
What's happening: A recorder is supposed to run in a loop — when the hard drive fills, it quietly deletes the oldest footage to make room for new. But overwrite is a setting, and if it's off, the drive fills up and recording simply stops. Live view keeps working, which is why nobody notices for months.
How to check it yourself: In the recorder's menu or app, find the storage section. If it shows 100% full and the oldest footage never gets any older, overwrite is off. Look for a setting called "overwrite," "cyclic recording," or "loop recording" and turn it on — it's safe to change.
When it needs a professional: If the drive is full because the retention math was never done — many 4K cameras recording onto a small drive — turning overwrite on just means you'll only ever have two or three days of history. Some insurers, and plenty of incidents, need weeks of footage, not days. Getting retention right is a design question.
2. The Hard Drive in the Recorder Is Failing
What's happening: The hard drive inside a recorder has one of the hardest jobs in electronics: writing video from every camera, every second, around the clock, for years. Even purpose-built surveillance drives wear out — typically in the three-to-five-year range. The symptoms are sneaky: gaps in the timeline, playback that stutters, the recorder rebooting on its own. Then one day it stops recording entirely while live view carries on looking healthy.
How to check it yourself: Look in the storage menu for a drive status indicator. Anything other than "Normal" or "OK" — "Error," "Abnormal," or a drive that has vanished from the list — means it's on its way out. Also listen: a recorder that has started clicking or grinding is telling you something. Don't open the recorder yourself; there's no user-serviceable fix inside.
When it needs a professional: Immediately, for an honest reason: a failing drive can sometimes still be read, and a dead one usually can't. If there's footage on that drive you may ever need, the time to copy it off is before it dies. A pro can pull what's recoverable, fit a surveillance-rated drive, and confirm the recorder itself wasn't killing drives (see cause 7).
3. Motion Recording Is On, but the Zones or Sensitivity Are Set Wrong
What's happening: Most systems record when they detect motion, not continuously — it saves enormous amounts of storage. But motion detection is only as good as its setup. Detection zones may exclude the exact spot where your incident happened. Sensitivity may be set so low that a walking person doesn't trigger it — a common "fix" from someone who got tired of false alerts and turned the dial down until the alerts stopped, along with the recording. Seasons matter too: a camera that behaved all winter can go blind in summer when trees leaf out or sun angles change.
How to check it yourself: The simplest test in this article: walk in front of the camera, wait two minutes, then check playback for that timestamp. If you don't appear, motion recording isn't catching you. The motion settings page usually shows the camera image with a grid marking the active zones — check the areas you care about are inside one. Nudging sensitivity up a notch is safe.
When it needs a professional: Tuning. Zones and sensitivity done properly are set per camera, tested day and night. Done wrong, analytics cry wolf every time a cat walks by — or worse, stay silent when a person does. If your system can tell a person from a passing vehicle and that's not switched on, that's exactly what a takeover assessment finds.
4. The Camera Lost Its PoE Power
What's happening: Most modern IP cameras get their electricity through the same network cable that carries their video — PoE, "Power over Ethernet." Tidy, but one failure kills picture and power at once. Two common failure modes: the PoE switch has a total power budget, and cameras added over the years can quietly exceed it — the switch then drops cameras, sometimes only at night when infrared lighting draws extra power. Or a camera runs off a small plug-in PoE injector that has died or been unplugged by someone looking for a socket.
How to check it yourself: A dead camera with no live view and no status LED is a power problem until proven otherwise. If it runs off a visible plug-in injector, check it's plugged in and lit — unplugging and re-plugging a low-voltage injector at the wall is safe. If several cameras drop out together, especially at night, suspect the power budget.
When it needs a professional: Anything beyond the wall plug. Diagnosing a PoE budget means reading per-port power draw against the switch's rating; the fix may be a better switch or redistributing cameras. And anything involving the electrical panel, hardwired power supplies, or mains wiring is a hard stop — call us, or call an electrician. No exceptions.
5. A Network Change Broke the Link Between Camera and Recorder
What's happening: Your cameras and recorder find each other by network address, like houses on a street. A new router, a new internet provider, or a well-meaning ISP technician "refreshing" your equipment can renumber the whole street. The cameras are still powered and working — but the recorder is looking for them at addresses that no longer exist. This is far and away the most common cause of "everything stopped on the same day."
How to check it yourself: Think back: did anything change on the day recording stopped? New modem, new router, an outage? On the recorder, the camera list will typically show each camera as offline or disconnected. Rebooting the recorder and the router (power off, wait thirty seconds, power on) occasionally lets everything re-find itself, and it's safe to try.
When it needs a professional: If the reboot doesn't do it, the fix is reconfiguring addresses so camera and recorder agree again — and, done properly, setting them up so the next router swap can't break it a second time. That second part is the difference between a fix and a patch. It's routine work for an integrator and maddening guesswork for anyone else.
6. The Time and Date Are Wrong, So the Footage "Isn't There"
What's happening: Sneaky, because the footage often exists — you just can't find it. If the recorder's clock has drifted, or reset to its factory date after a power cut (a failing internal clock battery does this), footage gets filed under the wrong time. You search Tuesday 2 p.m. and find nothing, because the recorder thinks that moment was Tuesday 9 p.m. — or a date in 2015. Wrong time zone and daylight-saving settings cause the same off-by-hours misery. And a clip with a visibly wrong timestamp is a real problem if it ever needs to support an insurance claim or a police report.
How to check it yourself: Compare the time on the recorder's live display against your phone. Off by more than a minute or two? That's your lead. Correcting the time, time zone, and daylight-saving option in the menu is safe. Hunting for a specific incident? Search several hours either side of when it happened.
When it needs a professional: If the clock won't hold its setting through a power cycle, the internal battery or time-sync configuration needs attention. Proper setups have every camera and the recorder syncing to the same time source automatically, so this problem can't happen. If yours doesn't, that's worth fixing once, properly.
7. A Firmware Bug or a Crashed Recording Service
What's happening: Your recorder is a small computer, and like any computer, its software can hang. Sometimes what crashes is the recording service specifically — live view keeps working because it's handled separately, so the system looks healthy while quietly writing nothing to disk. Firmware (the recorder's built-in software) can also carry bugs where recording stops after weeks of continuous running. A recorder that keeps rebooting itself is in this family too.
How to check it yourself: Restart the recorder from its menu or, if it's frozen, by removing power at the plug and restoring it after thirty seconds. That's safe. If recording resumes, you've confirmed the diagnosis — but treat it as a symptom, not a cure. A recorder that needs regular restarting has a real problem underneath.
When it needs a professional: Firmware updates. A failed or interrupted update can leave a recorder unbootable, turning a bug into a brick. A professional checks the release notes, backs up the settings, and applies the right version for your exact model. 8. Corroded Cables or Connectors, Usually Outdoors
What's happening: The Lower Mainland is not kind to outdoor connections. Rain, condensation, and temperature swings work moisture into any connector that isn't properly sealed, and moisture plus copper equals corrosion. A corroded connection fails intermittently: the camera drops out when it rains and comes back when things dry out, leaving random gaps in the recording. The usual culprits are the connector at the back of the camera, a join hidden in a soffit, or cable run exposed instead of in conduit, its jacket cracked by weather.
How to check it yourself: Correlation is your tool. If a camera's dropouts line up with weather, corrosion is the prime suspect. Inspect what you can see from the ground — green or white crust on fittings, sagging or cracked cable, a junction box hanging open. Don't go up a ladder to poke at connections; disturbing a wet line can make things worse, and roof-edge camera positions are not worth a fall.
When it needs a professional: All of the actual repair. Done properly it means cutting back to clean cable, re-terminating with sealed weatherproof fittings, and ideally getting the run into conduit so it doesn't happen again. This is the corner-cutting we find most often on systems we take over — the cameras were decent, but the cabling was never going to survive five Fraser Valley winters.
9. The System Was Never Set to Record in the First Place
What's happening: The one nobody wants to hear, and we see it more than you'd think. Recording schedules must be configured per camera, and if the original installer powered everything up, showed the owner a working live picture on the app, and left, the system may never have recorded a single frame. The same happens when a camera is added later: it appears in live view automatically, but nobody added it to the recording schedule. The system was never broken. It was never finished.
How to check it yourself: Open the recorder's recording schedule page — a grid or timeline per camera showing when it records. If a camera's schedule is empty, there's your answer. On many systems, enabling a basic "record on motion, all hours" schedule is a menu option away and safe to set. Then do the walk test from cause 3 to confirm footage actually lands.
When it needs a professional: If you've just discovered your system has never recorded, ask what else was never finished. "No recording schedule" rarely travels alone — it shows up alongside default passwords, untuned motion zones, and retention nobody calculated. A one-time assessment closes all of it at once.
When the Honest Answer Is: The Recorder Is Done
We'd rather tell you this straight than sell you three more service calls. Some recorders reach a point where fixing them stops making sense:
- It's eating hard drives. On your second or third drive replacement? The recorder itself is often what's killing them.
- The manufacturer has stopped supporting it. No more firmware updates means known bugs stay unfixed and security holes stay open. A recorder that can't be patched is a liability on your network.
- It can't do what you now need. Older recorders can't run modern analytics, cap out below current camera resolutions, or can't hold the retention your insurer expects.
- The math stops working. When each service visit costs a meaningful fraction of a new recorder, replacement is the cheaper path.
Here's the part that surprises people: an end-of-life recorder does not mean an end-of-life system. Cameras routinely outlast recorders. In many takeovers we replace the recorder, keep most or all of the existing cameras, and the owner gets a current, supported, properly configured system for a fraction of the rip-out-and-start-over quote they were braced for.
We Take Over Systems Other Companies Installed
A lot of the systems we look after weren't installed by us. The company that put them in has moved on, stopped answering, or gone out of business — and the owner is left with equipment nobody will touch. That's normal work for us, not an exception.
A takeover assessment looks like this: we walk the site, test every camera, check the recorder's health and drive condition, and review the recording schedules, retention, motion tuning, and cabling. Then we tell you plainly what's fine, what needs fixing, and what's worth replacing — and we'll tell you straight when a site needs a new recorder and four re-aimed cameras instead of the full new system someone else quoted. Gear that's still good stays; you shouldn't pay twice for cameras that work.
After that, it's one local company designing, fixing, monitoring, and supporting the system — no vendor finger-pointing, and no more discovering there's no footage on the day you need it most.
